Overview

The End-of-Term Course Checklist provides key steps to consider as you wrap up your Canvas course and teaching technologies for students at the end of a term.

Prepare for Course Feedback

You can request a course evaluation for a class you teach or view past course evaluations. Review information and frequently asked questions on the Office of Institutional Effectiveness's Course Evaluations page.

Consider implementing a mid-point survey in your Canvas class, running an anonymous poll, or conducting in-class feedback. Be prepared to review feedback when revising your course.

Finalize Grades

For the Canvas gradebook Total column to accurately reflect a student's final grade, complete all grading, ensure grading weights are accurate, and, if needed, change the grading scheme to match your syllabus.

You must manually add a ‘0’ to the gradebook column of any unsubmitted assignment in order for Canvas to calculate the correct final grade for both student and instructor view. The dash or hyphen means that no grade has been entered and it will not calculate a positive or negative value. Using the ‘treat ungraded as zero’ view option only reflects the change of grade in the instructor’s view; students will not see this. If you want to excuse a student's grade, enter "EX" and Canvas will eliminate that assignment from the calculation for that student.

If you have used a grade posting policy to show or hide grades, note that this can be implemented for all gradebook items as a policy or for individual assignments. 

It can be useful to post a class announcement that grading entry is complete, especially when you have time in between completing grades in Canvas and needing to submit grades to Web4U. This gives students a chance to review their scores and clarify any miscommunications related to grades. Be sure to let them know when final grades will be submitted to Web4U. 

The Registrar's Office will open the Web4U grade submission portal near the end of the term.

    • Note: If a student receives a grade of F, NP, U, K, or YN, you will also need to enter Last Date of Participation information.

Manage Incomplete Grades

If you have a student taking an incomplete, review The Incomplete (K) Grade policy on the Registrar's website and complete the Incomplete Grade Contract form.

In order for your student to complete the work for the course, you will need to request extended access for you and the student to participate in the Canvas course until a specified date. 

Review Course Access Dates

All CRN-based courses are set by default to auto-conclude at the end of the day Friday after grades are due. A concluded Canvas course becomes an archive of the course in a read-only format for both faculty and students, and is moved from the user’s Canvas dashboard to their Past Enrollments section of their account.

  • Nothing new can be added to a concluded course and no content or grade changes can be made.
  • Instructors can import content from a concluded course to a new Canvas course.
  • Instructors can review the gradebook and download student submissions.

    Faculty can override the auto-conclusion of their courses by customizing the start and end dates of their course. Below are guides on how to edit the start/end dates and restrict student access to files and folders.

    • Override Course Start and End Dates - Before the term is over, faculty can override the auto-conclude function using the term dates within the course settings. Overriding the conclude function will keep the course in an active state for all enrollments. If you need this change after the course concludes, contact CanvasHelp@wwu.edu.
      • NOTE: An End Date must be set, otherwise the academic course will not conclude and be present in students’ dashboards until an End Date is provided. Please refer to WWU Term Dates for appropriate End Dates for your academic term.
    • Restrict Student Access to Files and Folders - You may prohibit students from viewing specific files, such as quiz reviews, after the course has concluded.
